Welcome back for another great year with Kings Hammer! Thank you for volunteering to be the Parent Administrator (PA) for your team. General updates, and information regarding practices, games, and showcases would not make it to your team efficiently without you. You will receive a 40% discount on your players fees for your assistance with this role.
2024/2025 PA Handbook
This handbook will guide you through the year and help you perform your duties more effectively. ECNL teams will be carded through US Club / Total Global Sports.

Responsibilities
PLAYMETRICS
- Manage Team PlayMetrics Page, use this link to learn more.
- Introduction To PlayMetrics
- Add game schedule including location and uniform combination (once communicated to you by director), add final game scores
TOTAL GLOBAL SPORTS (TGS)/ATHLETE ONE
- Set roster for each ECNL match via the ECNL app.
- Watch Athlete One video Athlete One Video to familiarize yourself with game day procedures as well as actions needed prior to games.
- Maintain your TGS profile as well. You will set your game day rosters (minimum 24 hours before match) here or in the ECNL app.
- Assist coach with Game Day Check-in Procedures
- Your out-of-town ECNL league travel arrangements will be set up by the club. Work with Cari Lee to get this information and disseminate it to your team. For ECNL showcases, a lottery system is used for hotel selection. When it is your turn to reserve your rooms, you will get an email from Athlete Travel.
- Pay ALL referee fees for ECNL home games – Connect with your coach to collect this money as it will be sent to them from the club. Return unused referee fees to 50 E. Rivercenter Blvd Suite 150, Covington, Ky, 41011
- Manage electronic files as well as player cards and rosters -sent to you from Lori

GOTSPORT
- Manage Got Soccer account. An account will be set up for you using the email you provided in Playmetrics. You will need this for the following:
- Complete PA requirements (more information below)
- Upload tournament documents for non-ECNL tournaments/showcases
OTHER
- Send team content (photos, videos, quotes) into the marketing team. See contact information below.
- Assist team with setting up their Sports Recruits accounts (HS age players)
- Set up dinner/activities during your travel weekends to bolster team comradery
Note: All league and tournament fees are handled at the club level. Please send any missing payment information to directors.
Start of Season
After tryouts have ended and offers have been made, there are several duties required by the Parent Administrator (PA). These duties should be completed as soon as possible.
KH directors will update the rosters in PlayMetrics and add you as an administrator. If you have not already done so, you will need to send everyone a welcome email and ensure they understand your role with the team, examples: scheduling, tournament paperwork, etc.
After all players have accepted their offers and completed their registration, the club will print and laminate all player cards. These cards will be mailed to your address. Player cards need to be at every game as proof of age for each player although they may not be asked for by the referees, they are good to always have. For legal reasons players cannot play in games if they do not have a player card.
GotSport (US Club)
As an ECNL PA you will be required to pass a background check and complete the required training from GotSport due to the handling of personal player information. You will log in to GotSport: https://system.gotsport.com/ Go to DASHBOARD and under REQUIREMENTS you will see what is needed from you. Your background check has two parts. You will get a follow up email from US Soccer to complete it. Once you get to this step, please use the comp code: ECNLBG2425 to pay for it.
GOTSPORT Requirements

- Staff Registrant Annual Certification (annual)
- Adverse Eligibility List Review (just once)

Get Familiar with your League
- Elite Clubs National League (ECNL) Ohio Valley Conference is a member-based organization founded to enhance the developmental experience of soccer players in the United States.
Organizing your Electronic Files
You should keep the following electronic files and have them accessible to you at games:
- Cards and roster – emailed to you by the club
- Coach Concussion Training – contact your coach to obtain their concussion certificate
In addition, keep any email communications with other team coaches regarding game reschedules, so you can refer to them in case there is a question about a game time, field location, referee assignment, etc.

Uniforms
All players must order uniforms through our provider, Soccer Village. Accessories (backpacks, sweatshirts, spiritwear etc.) are also available to order online through the website. Information was sent to parents via email through PlayMetrics. Please forward the information below as needed. Numbers are assigned by directors and sent directly to Soccer Village.

*ECNL game kits require players to wear matching under layers. Example: if wearing white jersey with red shorts, players must wear a long white sleeve and red pants only. Please communicate with families so parents are not scrambling to get these items the night before a game or tournament weekend.
*Each ECNL jersey will need a patch placed on the back above the player number. The coach will give patches to each player. The parent will be responsible for adhering the patch to each jersey.

Referee Fees
The referee money will be sent to your coach. Please coordinate with them to collect this money. You will then sort the money into the denominations below according to your age group. Place the fees for each game in a marked envelope. Amounts are below:
ECNL Referee Fees
Referee Fees for ECNL / ECRL are paid by the HOME team only. Current referee fees are:
ECNL / RL
- 2011/2012: $75/$45/$45 (7-$20’s, 1-$10, 3-$5’s per envelope/home game)
- 2010/2009: $85/$60/$60 (10-$20’s, 1-$5 per envelope/home game)
- 2008/2006/7: $95/$65/$65 (10-$20’s, 1-$10, 3-$5’s per envelope/home game)
Team Content
We need your help to collect team content including pictures, quotes, and/or videos from games, events/tournaments, training, and big moments. What we are looking for from PAs to send to the marketing team:
- Pictures – List who is in the picture, team name/age group, location and what is happening. Pictures from a camera are always best but it is fine to take photos from a cell phone, just get as close to the action as possible.
- Video – If possible, send a video to highlight what is happening.
You can take the photos/videos yourself or collect photos/videos from parents on the team and submit.

We will post the content and highlight the location/team in each social post or on the photo on the appropriate platform

Recruiting (U16 & Up)
- SPORTS RECRUITS Kings Hammer provides access to Sports Recruits for all high school aged players. A link to set up their accounts will be sent to them from Wil Cagle (Midwest Region Education Director). Once these are set up, college coaches can view their profiles. As the team PA, your responsibility with Sports Recruits will be to assist the team in a few ways with this process.
- Work with families to confirm each player has an account setup.
- Email Wil any players who are unable to access a KHSC SportsRecruits account, or who have an account from a former club which needs to be merged with KHSC account
- Work with Cari Lee to make sure all the information for each player has been received by the club for each player (ie, headshot, grad year, GPA, email, etc)
- At Showcases – your coach or director will provide you with the brochures the club has created for each event. Two parents from your team will need to hand these out to college coaches in attendance at your games. They also need to keep track of the coach’s name and college they represent. After the weekend, please send the list to your coach so that they can follow up.
