Pre-ECNL PA Handbook

Welcome back for another great year with Kings Hammer! Thank you for volunteering to be the Parent Administrator (PA) for your team. General updates, and information regarding practices, games, and showcases would not make it to your team efficiently without you. You will receive a 40% discount on your players fees for your assistance with this role.

2024/2025 PA Handbook

This handbook will guide you through the year and help you perform your duties more effectively. Pre-ECNL teams will be carded through US Club / Total Global Sports. Pre-ECNL Kings Hammer USYS teams are also either carded in KYSA (Kentucky Youth Soccer Association) or OSA (Ohio Soccer Association). Your state association is determined by the number of kids from each state on your team. Please be aware that some teams are carded in KYSA and play in Ohio Leagues. PLAYMETRICS

  • Manage Team PlayMetrics Page, use this link to learn more.
    •  Introduction To PlayMetrics
    • Add game schedule including location and uniform combination (once communicated to you by director), add final game scores
    • When adding a game, be sure to denote under ‘game type’ which league the game is associated with or indicate if it is a tournament game

TOTAL GLOBAL SPORTS (TGS)

  • Maintain your TGS profile for your Pre-ECNL games. This is where you will set your rosters before matches (at least 24 hours before) and upload your match report after every home match.

  • Your out-of-town ECNL league travel arrangements will be set up by the club. Work with Cari Lee to get this information and disseminate it to your team. For ECNL showcases, a lottery system is used for hotel selection. When it is your turn to reserve your rooms, you will get an email from Athlete Travel.

GOTSPORT

  1. Manage Got Soccer account. An account will be set up for you with your email that you have in Playmetrics. You will need it for the following purposes:

OTHER

  • For your games you will pay HALF the fees for every game (home and away). If you’re playing in two leagues, the amounts may be different. More details are listed below. The referee fee money will be sent to your coach. Connect with them to get this money.  Return unused referee fees to 50 E. Rivercenter Blvd Suite 150, Covington, Ky, 4101.
  • Manage electronic files and player cards and rosters -sent to you from Lori and Kathy
  • The administrative staff will organize a philanthropic event each year. Your role will be to communicate the details to your team and to encourage them to participate.
  • Send team content (photos, videos, quotes) into the marketing team. See contact information below.
  • Set up dinner/activities during your travel weekends to bolster team comradery

Note: All league and tournament fees are handled at the club level. Please send any missing payment information to directors.

Start of Season

After tryouts have ended and offers have been made, there are several duties required by the Parent Administrator (PA). These duties should be completed as soon as possible. KH directors will update the rosters in PlayMetrics and add you as an administrator. If you have not already done so, you will need to send everyone a welcome email and ensure they understand your role with the team, examples: scheduling, tournament paperwork, etc.

Sample Introduction Letter

After all players have accepted their offers and completed their registration requirements, the club will print and laminate all player cards. These cards will be mailed to your address. Player cards need to be at every game as proof of age for each player. For legal reasons players cannot play in games if they do not have a player card. You will have USYS cards for your non-ECNL games and US Club cards for your Pre-ECNL matches.

GotSport (US Club) & USYS

As a PA you will be required to pass a background check and complete the required training from GotSport due to the handling of personal player information. You will log in to GotSport: https://system.gotsport.com/ Go to DASHBOARD and under REQUIREMENTS you will see what is needed from you.

  • Background Check (every two years) -use comp code ECNLBG2425 to pay for this
  • SafeSport (annual)
  • Staff Registrant Annual Certification (annual)
  • Adverse Eligibility List Review (just once)

Pre-ECNL (Carding through US Club AND USYS)

  • All of the above for Pre-ECNL through US Club

PLUS (For USYS – non -ECNL games)

  • Background check (every two years)
    • KY background checks are free
    • OH please reach out to Cari for the comp code
  • SafeSport (annual) – your SafeSport from USClub carries over to USYS

Get Familiar with your League

Below is a list of leagues your team may participate in. Please use the links below to get familiar with your league rules for game scheduling, rescheduling, submission of game scores, and guest player rules.

Organizing your Electronic Files

You should keep the following electronic files and have them accessible to you at games:

  1. Cards and roster – emailed to you by the club
  2. Coach Concussion Training – contact your coach to obtain their concussion certificate

In addition, keep any email communications with other team coaches regarding game reschedules, so you can refer to them in case there is a question about a game time, field location, referee assignment, etc.

Uniforms

All players must order uniforms through our provider, Soccer Village. Accessories (backpacks, sweatshirts, spiritwear etc.) are also available to order online through the website. Information was sent to parents via email through PlayMetrics. Please forward the information below as needed. Numbers are assigned by directors and sent directly to Soccer Village.

Kings Hammer Group Codes by Program:

*Please select the correct package when ordering

*ECNL game kits require players to wear matching under layers. Example: if wearing white jersey with red shorts, players must wear a long white sleeve and red pants only. Please communicate with families so parents are not scrambling to get these items the night before a game or tournament weekend.

*Each ECNL jersey will need a patch placed on the back above the player number. The coach will give patches to each player. The parent will be responsible for adhering the patch to each jersey.

Referee Fees

The referee money will be sent to your coach. Please coordinate with them to collect this money. You will then sort the money into the denominations below according to your age group. Place the fees for each game in a marked envelope. The amounts listed below are the amount you will bring to each game (this is half of the referee fees; the opponent will also be bringing the same amount).

Pre ECNL

  • 7v7 2015: $25/$35 (2-$20, 1-$10’s, 2-$5’s per envelope/per game)
  • 9v9 2013-2014: $30/$20/$20 (3-$20’s, $10 per envelope/per game)
  • 11v11 2013: $35/$45 (3-$20’s, 1-$10, 2-$5’s per envelope/per game)

BPYSL

  • 9v9 2015-2013: $29/$19/$19 (1-$20, 2-$10’s, 3-$5’s, 12-$1’s per envelope/per game)
  • 11v11 2013: $30/$22/$22 (3-$20’s, 1-$10, 4-$1’s per envelope/per game)

CPL

  • 7v7 2015: $22/$16/$16 (1-$20, 2-$10’s, 2-$5’s, 4-$1’s per envelope/per game)
  • 9v9 2013-2014: $29/$19/$19 (1-$20, 2-$10’s, 3-$5’s, 12-$1’s per envelope/per game)
  • 11v11 2013: $30/$22/$22 (3-$20’s, 1-$10, 4-$1’s per envelope/per game)

*Be sure to clarify with your coach/director whether you are playing 7v7, 9v9, or 11v11 as this will change the amount paid to the referees.

Team Content

We need your help to collect team content including pictures, quotes, and/or videos from games, events/tournaments, training, and big moments. What we are looking for from PA’s to send to the marketing team:

  1. Pictures – List who is in the picture, team name/age group, location and what is happening. Pictures from a camera are always best but it is fine to take photos from a cell phone, just get as close to the action as possible.
  2. Video – If possible, send a video to highlight what is happening.

You can take the photos/videos yourself or collect photos/videos from parents on the team and submit.

How the process will work:

  1. Send photos/videos/quotes to Laney Nelson lnelson@kingshammer.com.  Please include team name when submitting.
  2. We will post the content and highlight the location/team in each social post or on the photo on the appropriate platform
  3. If you have an idea and need help producing the final content, we can help.
