Job Description:

Kings Hammer is seeking a Member Services Coordinator for Greater Nashville to manage communication, player registrations, and club memberships. This role supports programs, monitors compliance and player movement, assists parent administrators (PAs), coordinates uniforms, and plays a vital part in organizing annual tryouts. The Member Services Coordinator ensures a seamless experience for customers and staff, contributing to the overall success of the organization.


Communication Management: 

  • Field all incoming emails and phone calls, responding within 24 hours of receipt. 
  • Management of centralized email inbox. 
  • Direct messages to the appropriate program director, when needed. 

Registration and Membership: 

  • Manage all player registrations, coach memberships, and club memberships with state associations and leagues. This includes player/coach carding for all required programs and leagues required by state rules. 
  • Assist program players/parents with registration and questions related to PlayMetrics and state registration. 

Grassroots Program Support: 

  • Enter all fall and spring recreational player and coach information into the state registration platform. 
  • Track compliance of Grassroots volunteer coaches with state registration requirements (background check, SafeSport training, CDC concussion training and including additional requirements from states and leagues) and provide a working list to the Grassroots Director. 
  • Assist the Grassroots Director with all in-person registrations for the Grassroots Program. 
  • When needed, assist with TOPS Program registration and emails. 

PlayMetrics Monitoring: 

  • Monitor all player team movement in PlayMetrics to ensure all player rosters match both carding registration programs and PlayMetrics. 
  • Assist with the collection of player fees and player cards for delinquent accounts. 

Manager Support: 

  • Implement Parent Administrator (PA) handbook and regional provide regional training to PA’s added to each team by the Directors of Coaching. 
  • Provide support to Parent Administrators (PA) for all duties related to the handbook. 
  • Plan and Player Administrator (PA)meetings, creating, and sharing minutes from these meetings. 

Annual Tryouts: 

  • Work with the General Manager and Program Directors to plan annual tryouts. 
  • Recruit and supervise volunteers who assist with player check-ins. 

Uniform Coordination: 

  • Work with Soccer Village on all uniform orders to identify players who have not ordered and/or assign player numbers. Communicate with parents to expedite the ordering process when needed. 
  • Send out all uniform information to families after tryouts and during new player onboarding. Work with Soccer Village on any uniform issues. 
  • Serve as the point of contact for all Academy and Premier uniform information, including sizing and fitting nights for players. 
Required Traits: 
  • Strong organizational and communication skills. 
  • Ability to handle multiple tasks and work in a fast-paced environment. 
Preferred Qualifications:
  • Prior experience in customer service or member services management. 
  • Familiarity with youth sports programs and registration processes. 
  • Proficiency in using PlayMetrics or similar registration platforms. 
  • Experience with volunteer management and coordination. 
  • Knowledge of state registration requirements for youth sports.
